Bookkeeping for coffee shops

Your books, clean all year. March, without the scramble.

Monthly bookkeeping for coffee shops and small food-service businesses — reconciliation, categorizing, sales-tax tracking, and a monthly report written in plain English. So when tax season hits, your accountant and your wallet are both happy.

Flat $500/month · No contracts · 30 days' notice is all I ask

Reconciled
Monthly NoteJune · delivered July 5
Sales$33,450 ▲ 6%
Profit$6,480
Sales tax held for Q2$3,360

June closed. Two things: your Q2 sales tax filing is due July 20 — you're holding $3,360 collected. And margins dipped about 2 points; looks like the dairy price increase. Everything reconciled to the penny.

The monthly note — what every report looks like. No jargon.

Three steps. Your part takes two minutes.

No shoeboxes, no weekend homework. You connect me once, I do the rest.

Step 1 — You

Connect me to your QuickBooks

You add me as your accountant from inside QuickBooks Online. It's free, doesn't count against your user limit, and you can remove my access anytime. I'll send exact instructions.

Your time: 2 minutes
Step 2 — Me

Free review of your books

I spend a week going through what's there — how things are categorized, whether past months reconcile, any gaps. Then we sit down and I tell you honestly what I found, with any cleanup quoted flat and in writing before work begins.

Your time: zero
Step 3 — Monthly

Clean books, every month

I categorize and reconcile everything as the month runs, and by the 5th you get your P&L with a short plain-English note. Your to-do list: send receipts, text me your safe count, answer the occasional "what was this $84 at Costco?"

Your time: minutes a month

One flat fee. Everything on the list.

$500per month · due the 1st · no contracts

Cancel with 30 days' notice — which guarantees I finish your books properly instead of leaving you mid-month. No cancellation fees, ever.

  • Every transaction categorized — bank and credit card feeds
  • Monthly reconciliation: checking, credit cards, and cash on hand
  • Sales, sales tax, and tips split correctly from your POS reports
  • Sales tax liability tracked all year — no April surprises
  • Receipts attached to their transactions in QuickBooks, audit-ready
  • Monthly P&L and balance sheet by the 5th, with a plain-English note
  • Questions answered within one business day

Setup is quoted by formula, not by vibes.

Getting your books current is a one-time project, separate from the monthly fee — and the math is right here, so you can estimate your own quote before I ever look inside.

ItemAmount
Base setup — QuickBooks file, chart of accounts, bank feeds, POS connection, 30-minute walkthrough$250
Catch-up per month behind — business and personal accounts separate$50 / month
Catch-up per month behind — business and personal mixed in one account$100 / month
Unfiled prior tax year — accounts separate+$300
Unfiled prior tax year — accounts mixed+$500
Toast, Clover, or Lightspeed connector configuration (Square & Shopify POS: included free)+$100
Second location or second legal entity+$200
Payroll service setup (QuickBooks Payroll or Gusto), up to 5 employees$150

Worked example: Square shop, separate bank account, hired in July → $250 + 6 months × $50 = $550. That's the whole quote.

Two or more unfiled prior years? Then a CPA needs to go first — and I'll tell you that for free instead of quoting you.

"Fair warning — if I look at your books and find something a CPA needs to fix first, I'll tell you that instead of taking your money."

— The quote is confirmed after the free review, in writing, before any work starts. It won't move unless I find something we didn't discuss — and I'll tell you before I touch anything.

What I don't do — on purpose

  • Run your payroll (I'll set up the service and show you the two clicks — then it's yours)
  • File your tax returns — sales, payroll, or income
  • Give tax advice — depreciation, entity choices, deductions

Those belong with your CPA and your payroll service. My job is making sure that when they get your numbers, the numbers are right — which makes their work faster and your bills smaller.

Built for shops like yours

  • Square, Clover, Toast, or an old cash register — I work with what you have
  • Already have QuickBooks that "just sits there"? That's the most common starting point I see
  • No QuickBooks at all? I'll set it up as part of onboarding
  • Cash drawer, tips, gift cards, delivery apps — the messy parts of food service are the parts I specialize in

I've been on your side of the counter.

I'm Parul Singh. Before bookkeeping, I spent about six years as a barista — pulling shots, counting drawers, running the POS reports at close. I watched how messy books made everything harder for the owners I worked for, and how much of their nights the paperwork ate.

Now I combine that firsthand knowledge of how a coffee shop actually runs with an accounting background — so your books get handled by someone who knows what a Z-tape is, why the tips line matters, and what your margins should look like.
